USAGE TRACKING & REPORTING

Know exactly what's being printed, copied, scanned and faxed

PriApps records print activity across your fleet and attributes it to users, devices and departments — turning one of the least visible areas of IT into something you can measure and account for.

Track printing across any make or model of device. On supported MFPs, extend that record to copying, scanning and integrated fax-service activity. Then turn the data into reports, cost allocation and attributable records for audit and compliance.

A PriApps-managed print fleet — an A3 MFP, an A4 MFP and a desktop printer — with print, copy, scan and integrated fax-service activity flowing into the PriApps reporting console.

THE PROBLEM

You measure everything else. The print environment is often the exception.

Every other system in your organization is accounted for. Logins are recorded, access is attributed, usage is reported, costs are known. Then there’s the printer estate — busy, expensive, handling some of the most sensitive documents in the building, and frequently the one thing nobody can put a number against.

Without tracking, the questions that should be routine become guesswork:

PriApps closes that gap. It captures document activity across the fleet, attaches it to a person, a device and a department where it can, and keeps the record — so the print environment is measured, attributed and reportable like everything else you run.

WHAT YOU GET

What Usage Tracking and Reporting gives you

See activity across the whole fleet

Print activity is recorded across any make or model of printer and MFP — networked, single-function and locally attached devices alike — not only the newest MFPs from one manufacturer.

Attribute activity to a person

Where users authenticate, activity is recorded against them. On supported MFPs that extends beyond print release to copying, scanning and access to integrated fax services, so document work at a shared device is no longer anonymous.

Allocate and recover cost

Apply configured costs to detailed usage data and allocate activity by user, department, cost center or other criteria — providing the foundation for chargeback, billing and quotas.

Report on demand and on schedule

Produce the reports administrators, finance and compliance teams need, when they need them — as scheduled deliveries or on request — rather than exporting raw logs and building them by hand.

Hold evidence for audit and compliance

Retain attributable records of document activity — including print jobs that are deleted, expire or fail to print — to support security investigations, compliance reviews and governance.

HOW IT WORKS

From every job to reports you can act on

Capture

PriApps records print activity as jobs are submitted and processed across the fleet. Where Secure Print Release is used, release, deletion and expiry events are recorded too. On supported MFPs, PriApps also captures copy, scan and integrated fax-service activity.

Identify

Where the user authenticates — by card, PIN, network credentials, identity-provider login or the PriApps Touch-Free app — the activity is associated with their organizational identity.

Record

Every print job is recorded in detail, with more than 100 data points covering the job, user, device, settings, output and outcome.

Report

Activity is turned into reports and dashboards by user, device, department or cost center — on demand or on a schedule you set.

Analyze

See how users and devices are actually consuming print and MFP resources, including high-volume activity, underused devices and inefficient usage patterns.

Act

The same data feeds cost allocation, chargeback, quotas and print rules — so measurement leads to control, not just a report nobody reads.

THE RECORD

Over 100 data points for every print job

PriApps doesn’t record that “something was printed.” For every print job it captures over 100 data points — the user, the document, the device, the time, the settings applied, the pages and sheets produced, color versus mono, duplex, the outcome — whether the job was released, redirected, deleted or expired unprinted.

That level of detail is what separates a rough impression from an accurate account. It is what lets you allocate cost precisely rather than apportion it roughly, spot the pattern behind a number, and answer a specific question — about a specific document, user or device — with a specific record rather than an estimate.

FLEET COVERAGE

What's tracked, and where

Different devices expose different levels of information. PriApps handles that by combining fleet-wide print tracking with deeper activity tracking wherever the device supports it.

PriApps supports any make or model of printer and MFP, and offers enhanced support for an increasing number of smart SFPs and MFPs where deeper integration is available. What’s captured adapts to what each device can provide:

Across the fleet

Print tracking, fleet-wide

Track print activity at any make or model of printer and MFP you can print to, including single-function and locally attached devices.

On a supported MFP

Copy, scan and fax too

Extend that record to copying, scanning and access to integrated fax services, attributed to the authenticated user through the embedded PriApps interface.

Two-tier diagram: print activity is tracked fleet-wide across any make or model — desktop printer, workgroup SFP, A4 MFP and A3 MFP — feeding PriApps usage tracking (user, device, department, cost, pages, settings, outcome). On supported MFPs the record extends to copy, scan and integrated fax-service activity, attributed to the authenticated user.

One consistent view across the estate, with richer detail where the device supports it — without replacing equipment that works or standardizing every site on a single manufacturer.

REPORTING & ANALYTICS

From raw activity to decisions you can act on

Data only matters if the right people can see it in the form they need. PriApps turns recorded activity into reporting built around how organizations actually use it:

  • Usage — jobs, pages and sheets across print, copy, scan and integrated fax-service activity
  • Users and departments — volume, cost, color usage and departmental activity
  • Devices — utilization, volume, and the underused or heavily used devices worth acting on
  • Cost — allocation by user, department, cost center and, where relevant, client and matter
  • Behavior — color and mono, simplex and duplex, and other job characteristics
  • Scheduled reporting — operational, financial and compliance reports distributed automatically

Administrators manage reporting, retention and policy centrally, across the fleet — not device by device.

TURNING DATA INTO CONTROL

Measurement is the first step. Control is the point.

The record PriApps builds is the foundation the rest of your print strategy stands on. The same data that tells you what happened lets you change what happens next:

Cost recovery and billing

Allocate and recover document cost, including client- and matter-based billing for professional services firms.

GOVERNANCE & AUDIT

A record that outlasts the print queue

PriApps keeps an attributable history of document activity — including who submitted a print job, who released it, at which device and when. Records remain available even when jobs are deleted, expire or fail to print, so removing a document from the queue does not remove its activity record.

Retention and reporting are managed centrally, so the record stays consistent across the fleet rather than depending on what each device happened to log.

Frequently asked questions

What is print tracking and reporting?

It's the recording of document activity across your fleet — what was printed, copied, scanned or faxed, by whom, where and when — turned into reports you can use for cost allocation, security, compliance and fleet decisions.

Does PriApps track printing on any printer?

Print activity is tracked across any make or model of printer and MFP you can print to, including single-function and locally attached devices. Copy, scan and integrated fax-service tracking is available at the device on supported MFPs.

What can PriApps track at an MFP that it can't at a basic printer?

On a supported MFP running the embedded PriApps interface, activity at the panel — copying, scanning and access to integrated fax services — can be recorded against the authenticated user, in addition to print activity.

How detailed is the record?

Each print job is recorded in detail, with more than 100 data points including the user, device, department, time, settings and outcome.

Can activity be attributed to individual users?

Yes. Print activity can be associated with the user who submits the job. On supported MFPs, user authentication also allows copy, scan and integrated fax-service activity at the device to be attributed to the person performing it.

Can we allocate or recover printing costs?

Yes. Detailed usage data underpins cost allocation, chargeback and client- or matter-based billing, and feeds quota and rules-based printing policies.

Can we schedule reports?

Yes. Reports can be produced on demand or delivered automatically on a schedule, by user, device, department or other configured criteria.

Are records kept for jobs that were never printed?

Yes. Records are retained even for print jobs that are deleted or expire unprinted, so the audit trail is complete.

Does it help with sustainability reporting?

Yes. Print volumes, sheet counts, color and duplex usage, together with jobs that expire unprinted, provide useful data for sustainability and waste-reduction initiatives.
